Housing Update August 17,
1. If you need 16+ rooms for Imperial 2012 be sure you have contacted the 2012 Housing Office at rburroughs2121@gmail.com If you have your room assignments, good. You are on track and doing well but keep reading this update. 2. If you do not have your room assignment, contact the housing office immediately. We must get your Shrine Center assigned to a hotel right away. The contact is rburroughs2121@gmail.com 3. In order for your room assignment to be valid, you must have a letter from the Housing Committee telling you the name of your hotel, your contact person at the hotel and other information. 4. Once you get your hotel assignment from the Housing Committee, you must contact the hotel and enter into a contract with the hotel. It is your Shrine Center’s responsibility to contract with the hotel, to stay in contact with the hotel and make sure they know your arrival date, departure date and any special needs (handicap facilities etc) as well as your contact information. 4. We have received reports that some Shrine Centers have not finalized their arrangements with their hotel. Failure to finalize your contract with the hotel could result in you losing your rooms and the preferential room rates. Several hotels have set deadlines. If you fail to meet the deadline, they will put your rooms back into the general room inventory of the hotel and the rooms will be available to the general public. You could very well lose your rooms. Your procrastination could be embarrassing to you and your Shrine Center. 5. I need to remind you the Democratic National Convention (to nominate the 2012 Presidential candidate) will come to Charlotte shortly after we leave. Hotels are being pressured to make many rooms available weeks in advance of the DNC convention. The demand for rooms has already started. 6. If you allow your deadlines to pass, the Housing Committee will not be able to “save” you. 7. Look at your housing file. Are you up to date? Do you have your assignment? Have you completed your contract with your hotel? Have you told the hotel about your arrival & departure date? Have you made periodic phone calls or sent emails to your hotel to make sure you know your contact person? 8. The Housing Committee urges you to take care of your housing needs immediately.
